Athletic Director

 

JOB GOAL                            

 

To assure the smooth and efficient operation of the athletics office so that the office's maximum positive impact on the education of children can be realized.

 

PERFORMANCE RESPONSIBILITIES

 

  1. Database management of all student athlete eligibility data via Excel and other database management systems – Powerschool, TSSAA Portal, Final Forms, website, etc.
  1. Manages on-line athletic rosters and schedules, orders athletic letters, certificates, pins, and other materials for athletic awards banquets. Answers the telephone and responds to inquiries concerning athletic events.
  1. Maintains a regular filing system, as well as a set of locked confidential files, and processes incoming correspondence as instructed.
  1. Places and receives telephone calls and records messages.
  1. Orders and maintains supplies as needed.
  1. Performs any assigned bookkeeping tasks.
  1. Works with Athletic Director to arrange for and verify officials to work at athletic events via the ARBITER Sports system; communicates with coaches and Athletic Director to schedule, reschedule, or confirm athletic events. Reserves fields and gymnasiums.
  1. Assists Athletic Director in arranging for ticket takers, timers, and scorekeepers, for home athletic events each season.
  1. Welcomes visitors and arranges for their comfort and screens unexpected callers in accordance with predetermined policy.
  1. Maintains such student records as shall be required.
  1. Maintains a log of visitors to the school.
  1. Types a variety of material such as letters, student records, reports, memos, and monthly statements from rough drafts or corrected copy.
  1. Files correspondence, invoices, cards, or other records in prescribed manner, depending upon the practice of the department to which assigned.
  1. Assists in keeping update of inventory.
  1. Maintains supplies for the continuous operation of office equipment.
  1. Prepares parcels for mailing or shipping and receives and distributes shipments from truckers and delivery services.
  1. Receives and delivers interoffice written communications.
  1. Answers questions of callers according to school policy, takes messages for staff members, and pages authorized personnel over the intercom system.
  1. Maintains an alphabetical file of staff members’ names, room locations, and telephone extensions to expedite relaying of calls.
  1. Makes arrangements for transportation to athletic events and field trips; communicates with Transportation Department; arranges for rental of buses if not supplied by district; maintains file of transportation costs.
  1. Keeps custodian, staff, the news media, and others informed of building events.
  1. Content manager for school athletics website including individual pages for each sport and all advertisers.
  1. Performs such other duties as may reasonably be prescribed by the athletic director.
